This Privacy Policy explains how HoverFile collects, uses, shares, and stores information when you use HoverFile or access a shared client portal.

Who this policy applies to
This Privacy Policy applies to both registered HoverFile users and people who access shared client portals, download files, or otherwise interact with HoverFile-delivered project pages.
Information we collect from account holders
We collect information you provide directly to us when you create an account, complete your profile, create projects, upload files, subscribe, contact us, or use the service.
- Account and profile information, such as your name, email address, business name, and business logo.
- Project and portal information, such as project names, client names, project dates, access code-related data, file names, file counts, delivery status, and related metadata.
- Uploaded content, such as photos, videos, PDFs, and other files you choose to upload.
- Billing and subscription records, including customer and subscription details associated with Stripe checkout, billing, and account management.
- Communications, support requests, feedback submissions, and other information you send us.
- Usage and technical information, such as IP address, browser type, device information, session information, and related diagnostic or analytics data.
Information we collect from client portal visitors
When someone accesses a shared client portal, we may collect information about that visit and the actions taken in the portal.
- Access code submissions and related access-attempt information.
- Browser, device, and session information.
- IP address and related network information.
- Portal activity, such as portal views, file opens, file downloads, and related event history.
- Cookies and similar technologies used to keep the portal working and remember a valid unlocked session where applicable.
Cookies and similar technologies
We use essential cookies and similar technologies to operate HoverFile, maintain sign-in sessions, support shared client portal access, and provide core service functionality.
We may also use analytics cookies or similar tools in the future to understand how HoverFile is used and how to improve it. If we enable those tools, they may be provided by vendors such as Google Analytics or other analytics providers.
How we use information
- To provide, operate, and maintain HoverFile.
- To authenticate users and deliver one-time login codes by email.
- To host, process, display, deliver, and manage uploaded files and project portals.
- To process subscriptions, billing, renewals, cancellations, credits, and refunds.
- To respond to support requests, feedback, and communications.
- To monitor performance, troubleshoot issues, improve product features, and maintain security.
- To investigate abuse, enforce our terms, and protect users, third parties, and the service.
- To comply with legal obligations and valid legal process.
How we share information
We do not sell your personal information or uploaded files. We do not use uploaded files for advertising.
We share information only as needed to provide the service, at your direction, to comply with law, or to protect rights, safety, and the service.
- With service providers and infrastructure vendors that help us operate HoverFile.
- With payment providers to process subscriptions and billing.
- With email providers to deliver authentication and service-related messages.
- With analytics providers if we enable analytics tools in the future.
- With law enforcement, regulators, courts, or other third parties when required by law or valid legal process, or when reasonably necessary to protect rights, users, or the service.
- As part of a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or part of our business or assets.
Service providers and infrastructure
We use third-party providers to host and operate HoverFile. Current providers may include DigitalOcean, Cloudflare, Amazon Web Services, and Stripe. We may also add other providers over time for hosting, storage, email delivery, analytics, security, support, or related operations.
We may use Amazon Web Services, including AWS SES, or other email providers to deliver authentication codes and service-related messages.
Billing information
Payments and subscription management are handled through Stripe or our other payment providers. We may receive subscription status, customer identifiers, billing-related records, and related transaction information, but payment card details are generally processed by the payment provider, not stored by us directly.
Uploaded files and shared portal privacy
We access uploaded files and related metadata as needed to provide, maintain, secure, support, and improve HoverFile.
We do not use or share uploaded files for unrelated purposes unless we clearly tell you otherwise.
Shared client portals and access codes should be treated as practical access controls, not as private or highly secure storage. Files are not end-to-end encrypted, and shared metadata such as file names, client names, project names, and related delivery details may be visible as part of normal service operation.
Retention
Uploaded files are retained according to the retention period shown in the product and are deleted under the service rules described in our Terms of Service.
Account information, profile information, project metadata, billing records, support records, logs, and similar business records may be retained indefinitely or for as long as reasonably necessary for service operation, security, legal compliance, dispute resolution, fraud prevention, recordkeeping, and enforcement of our agreements.
If you request deletion of files, projects, or your account, we may take reasonable time to process that request, and limited copies may remain in backups, logs, or system records for a reasonable period.
International and U.S. processing
HoverFile is operated in the United States. Information may be stored or processed in the United States and in other countries where our service providers operate.
Those countries may have data protection laws that differ from the laws where you live.
Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information we handle through HoverFile.
No method of transmission, storage, or security control is completely secure, and we cannot guarantee absolute security.
Children
HoverFile is not directed to children under 18, and we do not knowingly collect personal information from children under 18.
Your choices and requests
If you want to access, correct, or delete your information, or if you have questions about how we handle personal information, contact us at [email protected]. We will review and respond in a reasonable manner consistent with applicable law and our operational requirements.
Changes to this policy
We may update this Privacy Policy from time to time. If we make changes, we will post the updated version here and update the effective date above. If a change is material, we may also provide notice through the service, by email, or by another reasonable method.
